Selecting exhibition(s)

Exhibitors may select suitable exhibitions with reference to Exhibition Schedule that is provided by the CECF, and then enquire the related organizer to learn the information about:

  1.Exhibition period and opening time.
   2.Time of moving-in and moving-out for exhibits.
    (No exhibit is allowed to be moved out before the exhibition ends.)
   3.Exhibitor registration.
   4.Nominated contractor.
   5.Nominated transportation agent(s).
   6.Hotel reservation service.

Confirming booth(s)

The exhibitors should confirm his booth(s) as the organizer requests. The form of Booth Confirmation is not only a guarantee for the exhibitor to attend exhibition, but important information according to which fascia boards of the booth are made. So it must be correctly filled with details required by the organizer.
English name of the exhibitor's company should not be more than 40 characters, and Chinese name no more than 20 characters.

Constructing shell scheme booth(s)

# The basic configurations of each 9M2 shell scheme booth include: three-sided walls (white laminated panels) held by white aluminum alloy modular system, one aluminum table, two folding leather chairs, two 100W spotlights, one garbage can and one fascia board with booth number and the exhibitor's name in both English and Chinese.
The specification for a standard shell booth is 3M〜3M 〜2.5M.
# All shell scheme booths (9M2) are to be constructed by the CECF with two specifications of 3〜3M and 2.4〜3.6M.
# Basic configurations of shell scheme booths for international exhibition:
Three-side white laminated panels walls held by white aluminum alloy modular system, once-for-all carpet, one aluminum table, two folding leather chairs, one 10A 220V socket (Max 500W, not for lighting use), two 100W spotlights, one garbage can and one fascia board with booth number and the name of exhibitor's company in both English and Chinese.

# Additional notes: The walls between two or more than two adjoining shell scheme booths that belong to one exhibitor shall be dismantled when booth constructions are carried out. In case there are any special requirements for booth construction, the organizers should inform the CECF in advance and mark showing the details on the overall floor layout plan of the exhibition that is
submitted before the constructions start.

Constructing special booth(s)

All exhibitors who intend to specially construct and decorate their booths should apply and handle as below to meet the CECF's requirements:
#Any constructions inside the exhibition halls should not be higher than 8M. The exhibitor who has its booth constructed on the raw space in CECF halls shall submit to the nominated contractor the design for approval in case of its height above 2.5M. The design plan must include the iconography and stenography of booth construction with sizes, materials used, power load required and wire connection plan clearly marked. The organizer or the relevant department of the CECF is entitled to reject any unqualified plans that did not meet the fire and safety requirements of the CECF and then request the exhibitors to modify them.
#Organizers or their nominated contractors should pay for special construction management fee as stipulated in the licensing contract.
#NB:
Any articles should not be hung onto the top of exhibition halls and other fixed facilities.
1.Any construction objects in all exhibition halls should not be closed over on the top and its top to the ceiling of the hall should not be less than 80CM.

2.All connecting electricity wires used inside the booth should have protective cover that is made of hardly inflammable materials. General flexible wires and rubber wires are not allowed to use.

3.All booth constructions and decorations should use the specified hardly combustible and inflammable materials.

4.The distance between the booth and the fixed power switchboard should be no less than 80CM. Any fire hole and escaping passageway inside the fairground are forbidden to be blocked.

Protecting exhibits

#The exhibitors should be responsible for the safety of their exhibits and employ, if necessary, a few security guards to safeguard their valuable exhibits and personal belongings during the period of moving in and out.
#The exhibitors should ensure that there are enough staffers inside their booths to safeguard their exhibits. Valued exhibits must be well locked inside displaying arks.
#The exhibitors are obliged to insure their exhibits and personal belongings against any possible losses or damages and cover the third-party liability insurance for the interest of their staffers.

Transporting exhibits

Overseas transportation and customs clearance may be entrusted to the organizer-nominated transportation company.
Exhibits should be delivered on the stipulated date. In addition,Relevant documents should be sent to the transportation company. These documents include:
1. Customs Clearance bills for Exhibits and Certificate of Entrustment
2. Bill of Loading and relevant documents
3. Payment of transportation service fee

Moving in

#All exhibitors shall register and obtain move-in cards to enter into the specified halls in accordance with organizers' requirements and schedules. The working time of the CECF is from 9:00 a.m. to 5:00 p.m.
#Exhibitors shall be charged extra for their overtime work. All applications for overtime work should be submitted to the organizers before 4:00 p.m. of the day when the work must be done. The applications will be delivered by the organizers to the CECF for coordination and arrangement. No individual applications will be accepted.
#Overtime work will be charged to the minimum time of 3 hours and to the minimum area of 100M2 in one hall. The application for overtime work exceeding 6 hours is not usually accepted.
#During the period of moving-in, all exhibitors must observe and comply with the CECF's regulations on use of the CECF halls.

Moving out

#Move-out period usually starts according to the time announced by the organizer. Before that time no exhibitor is allowed to move out his exhibits from the halls.
#Before the date of move-out, the exhibitors shall return what they hire from the CECF and refund their deposits after the CECF's check-up.
#All exhibits should be cleared out the CECF halls after the end of exhibition period. The exhibits left in the halls will be cleared out by the CECF at the cost of the exhibitors. Those who scrap their exhibits in the halls will be fined.
#The exhibitors who are not able to take their exhibits back may entrust the CECF's Exhibition Services Department to store and handle transportation at their costs. The CECF will not accept the application for storage or transportation for any exhibits in bond.
